Email

Set Campaign Details

In addition to the standard “Enable VoterMatch?” option, Email Campaigns have three additional options in Set Campaign Details:

  • Always send to specific targets: Option to always send to specific Targets which will be selected in the Target section.
    • ⚠️

Note that this is not supported at the federal level, so the Targets will need to be at the state or local level.

  • Collect Non-Target Emails? If turned on, an advocate without an elected official as a Target for the campaign will be able to submit. A user will need to log into the system and determine when to send those emails to the non-Target elected officials.
  • Enable SmartSend?: Ensures that emails are only sent to the Target during their active business hours or when the Target is most likely to read the email based on data previously collected from the Target's office.
    • E.g. An advocate submits to the Campaign at 9pm local time on a Sunday night. The email will be sent to the Target's office between 9am and 5pm local time on Monday. If multiple advocates have submitted over the weekend, each email will be sent at different, but still more optimal times, to avoid all emails being held to the same moment.

Always Send to Specific Targets

When this option is enabled, you can select the flag in the Selected Target section in the right column. You know you have selected a flagged Target when the icon turns red.

⚠️

REMINDER: This feature is only available at the State and Local level.

In the above example, the representative from District 2 will receive a submission from every advocate even if they live in a different district.

Additionally, at the bottom of the page a new “Your Flagged Targets” will be available with the “Your Selected Targets.”

For additional help with Target selection, please visit the designated help document for setting up Targets.

Collect Non-Target Emails

In Campaigns without flagged Targets, advocates can still submit if you have enabled the Collect Non-Target Emails under the Set Campaign Details. These emails will not send automatically to allow you an opportunity to review and determine if they should be sent.

Emails can be reviewed from the details page after the Campaign has been finalized. Navigate to the Held Emails section below the Target Representatives.

Widget Options

On the final step of Email Campaign setup, there are a few options unique to this Campaign Type.

Email Editable

When this option is enabled, it will allow advocates to edit the email to elected officials before submitting. Similar to the non-Target email collection, it will require you to log into the system and review the emails before it is actually sent to the Target. Emails can be reviewed from the details page after the Campaign has been finalized. Navigate to the Edited Emails section to review.

Add Call and Add X (formerly Twitter) to Campaign

Additionally, you can send advocates to additional steps to call or tweet at their elected official after sending the email. When each of the options are selected in the Widget Option menu, a Call Page and X (formerly Twitter) Page sections will appear below. Based on the Information for AI entered, Instructions for each section, a Call Script, and an X Post will be generated for you to review and edit before finalizing your campaign.

Letter

Set Campaign Details

Enable Unique Letters

When this option is enabled, you can select the flag in the Selected Target section in the right column. You know you have selected a flagged Target when the icon turns red. ⚠️REMINDER: This feature is only available at the State and Local level. ⚠️

Additionally, at the bottom of the page a new “Your Flagged Targets” will be available with the “Your Selected Targets.”

Stories

Set Up Campaign Details

With your Story Campaign, you can collect either a written story or a video story from your supporter with their submission. To enable the option for Video Story for your advocates, be sure to enable the Enable Video Story option in the Set Action Details section.

When this is enabled, it means that advocates will have the option to submit either a written story or a video. There is not a way to enable only video collection on Story Campaigns. If video is enabled, written stories can still be collected. However, if you only want to collect written stories, simply do not enable the toggle for Video Story.

💡Ada, the system’s AI, will summarize and transcribe the videos collected so you can better analyze and utilize the videos collected.

Regulations

Unlike other Targets, the Regulations Campaign is to submit comments to a specific docket item on regulations.gov during the comment period.

Set Up Campaign Details

On the first step of the Campaign creation, you will need to select the specific docket item for which you’d like to collect comments. Similar to selecting Targets, you will select from the column on the right hand side.

Each Campaign can only support one docket item. Additionally, the system only displays the docket ID. You can search by full or partial ID to get to the right item. If you are unsure which ID you should select, visit regulations.gov to confirm.

Widget Options

Comment Editable

When this option is enabled, it will allow advocates to edit the comment for the regulations.gov form  before submitting. When enabled, advocates are able to edit the comment you generated to them before completing the Campaign submission. This can help make your Campaign more effective so advocates can add their own personal touches.

Add X (formerly Twitter) to Campaign

When the option is selected in the Widget Option menu, a X (formerly Twitter) Page section will appear below. Based on the Information for AI entered, Instructions and X Post will be generated for you to review and edit before finalizing your campaign.
