🤔 How Print and Mail Works
When your supporters sign a letter, it is more than a digital signature on a page. AdvocacyAI can print, address, stamp, and mail a physical letter to the right lawmaker or target on your behalf — with no logistics required on your end.
Whether you are running a federal campaign, a state-level push, or targeting a custom government body, physical letters remain one of the most effective forms of constituent contact. A stack of 20 hand-signed letters delivered to a state representative's office can move a vote. Surfrider Foundation sent 28,000 to the Bureau of Ocean Energy Management during a federal comment period — all printed, addressed, and mailed within two weeks.
✍️ What Happens When Someone Signs
The moment a supporter signs your letter, two things happen. First, a PDF of their letter is generated immediately and stored under your campaign dashboard. It includes their actual signature, captured on a touchscreen at the time of signing. You can view, download, or print these PDFs at any time. Second, if you have enabled print and mail, that letter enters the queue to be physically produced and sent.

💌 How the Letter Is Made
Your supporters' letters are printed, stuffed, and physically prepared by a real team of people through AdvocacyAI's print partner. Here is what that looks like in practice.
The letter itself is printed and put in a standard white envelope.
The envelope is hand-addressed by a real person using pen — your supporter's name and return address on one side, their target lawmaker's office address on the other.
A stamp is applied and the envelope is mailed through the postal service.

🎯 How Targeting Works
AdvocacyAI matches each supporter to the right office automatically. When someone signs your letter, we look up their district using our DistrictMatch data in under 0.2 seconds, and their PDF is immediately addressed to the correct office. If your campaign targets a supporter's Illinois state senator and state house representative, two letters are generated - one for each of their reps.
For custom targets, such as a federal agency, a regulatory body, or any non-electoral office, your organization provides the target and mailing address when setting up the campaign.

📬 When Letters Are Sent
Letters go out on a rolling basis, typically every three days. Our goal is for each letter to be received within the same week it is signed, though this is not guaranteed.
If you have specific needs around timing or volume, we work with you one on one. For example, some organizations choose to mail only a portion of their letters and use the remaining PDFs for in-person delivery.
💰 Pricing and Billing
The standard rate for print and mail is $3.00 per letter, which covers printing, hand-addressing, stamping, and postage for individual sends.
Some campaigns qualify for bundled send pricing. Bundled send groups your supporters' letters by destination address, so letters going to the same lawmaker or office are processed together. The more letters going to each unique address, the more efficiently they can be bundled — and the lower your cost per letter. Bundled rates typically come in under $1.00 per letter but vary depending on how many letters your campaign generates and how many unique addresses they are going to.
When you add print and mail to your campaign, a member of our team will review your setup and provide you with an estimated rate range. You confirm you are comfortable with that range before anything moves forward. At the close of your campaign, you are billed based on actual letters sent, which will fall within the range you approved.
For campaigns that run across multiple months, invoices are issued on a rolling basis around the 10th of each month and only cover letters that have already gone out. Payment can be made via ACH, credit card, or the payment method you have on file with your account.
