Before getting started with the Email Activation tool, please be sure to review the following help documents to ensure a good experience with your email program!
Getting Started with Email Setup
After you have ensured that you have done the necessary preparation for best Email Deliverability and set up your Email Templates and Email Domain, it is time to start your first Email Activation.
To begin, navigate to the Activate tab and select Email Activation from the New Activation dropdown.
Before customizing the content, you will need to enter your Email Name and select the Template from the dropdown for this email.
After you select your Template, you will see the Email Content section populated with the Email Template previously designed.
Customizing Your Email Activation Design
Though your email begins with the customizations from the Email Template, you can make further customizations to the design for just this email message. As you customize your email, it is recommended to select the Save Draft at the bottom of the left column to ensure all your progress is saved.
Edits you make to your Content for this Email Activation will not be saved to the underlying Email Template. If you find yourself making the same edit over and over again, you should update the Email Template itself to make future Email Activations more efficient.
By default the Add Content section is collapsed as you may not need this when drafting your Email Activation. To add new Content blocks, you will need to select the arrow next to Add Content. From there, you can do the same drag and drop process you did when building your Email Template
Just like the Email Template builder, you also can further customize the Design elements within your email message. You will need to select Edit Design and then select the elements you would like to adjust in the popup on the left. As you make changes, the Content blocks within your email will reflect the changes.
Reminder: These edits will only impact this Email Activation. The changes will not be reflected in the underlying Email Template.
Creating Your Email Content
To create the details within your Content blocks, you will begin in the Email Content section in the right column. You can edit the content in any order though this will show you how to in the order of the page.
Email Subject Lines
Your Email Activation can have up to 3 Subject Lines. This allows you to test which Email Subject has the best impact for your email. To add an additional Subject, select the Add + button. If you no longer want that option, select the trash icon next to the Subject Line that you would like to remove.
Editing Preview Text
Preview text (also called preheader text) is the short snippet of text that appears next to or below the subject line in a recipient's inbox, giving them a preview of the email content before they open it.
The system will auto-generate the Preview Text depending on the contents of your Email Message.
It will default to the Lorem Ipsum Text until you change the content in your email.
If you want to edit the Preview Text, select the Use Custom Text. This will make the text editable.
If you would like to revert back to the auto-generated text, simply select Auto-Generate while in the Custom Text option.
Preview text is required to send an email.
Creating Your Email Message
When you are ready to edit the content of your email, navigate to the draft below the Preview Text section.
To input your specific email message, you will just need to click on the text you see, and the content will become editable. For text on Headers and Subheaders, you will be able to add a link to an external page that you would like the email recipient to go to. This is optional.
All text can be edited this way by simply clicking on the text. You can also always reselect text to make further edits as many times as you need to do so to get your email message just right.
Before navigating away from the text, be sure to select the Save button for your block.
Similar to editing the text, you simply need to select the placeholder for an image to add an image from your account’s image library.
For images, you are also able to do Alt Text and include an external link to the image as well.
If you have included the News content block, you will have all of the individual pieces of text, buttons, and images to customize at once rather than piece by piece for other sections.
Setting Audience, From, and Send Time
Audience
You can select any previously created Audience that should receive this Email Activation.
To create a new Audience, navigate to the Advocates tab and then Audience. Be sure to save any progress you’ve made on this email before navigating away.
For best results of your emails, you should only send communications to emails that have recently engaged with your email program. Engagement is minimally defined as opened an email or maximally defined as clicked on a link in an email in the last 30 days. Please refer to our Email Deliverability guide here for more information. .
After you select the Audience you would like to use for this Activation, you will see the Audience Size below the Audience name.
To improve email deliverability and campaign performance, in the first 2 - 3 weeks on a new email platform, only send emails to recipients who have recently engaged with your program.
Engagement is typically defined as:
- Minimal engagement: Opened at least one email in the last 30 days
- High engagement: Clicked on at least one link in the last 30 days
📌 The fresher the engagement, the better your sender reputation.
From Email and From Name
From Email
By default, your From Email option will be website@adaptdigital.io. Please reach out to help@advocacyai.com to initiate the process of adding a validated email address to your organization’s email address.
From Name
Similar to Subject, you can have up to 3 different From Name options to test to see the effectiveness of your email with different. The From Email will remain the same.
To add an additional From Name option, Select the Add + and a new option will appear. If you need to remove an option, select the trashcan icon next to the From Name line.
Send Time
Finally before reviewing your email, you need to set your Send Time. You will need to set a send day and time.
📋You also have the option to utilize SmartSend, which will send the email within 24 hours to recipients at a time they are most likely to read it. This feature is best utilized after you have used the system’s email tool for a sustained period of time. Additionally, it is more effective for larger audiences.
Review and Test or Save Draft
The final options on this page are to either Save Draft. Selecting this will save your progress on your Email Activation without navigating you away from the page.
When you are done editing your message, you will need to advance to the review stage by selecting Review and Test. This will save your email as it is if you choose to navigate away from the page.
Review and Test
Before scheduling your email, you have the opportunity to Review your email and send test cases out.
Review Activation Email
The left column shows you the email content to allow you to finalize it before sending. If you need to return to adjust any of the content, select the Edit button on the top right. To return to this page, you will need to again select the Review and Test button on the bottom of the email editor page.
In addition to the Edit button, you have the Copy HTML button. This will allow you to input your email in tools like Email on Acid or Litmus to see how your email will render across different email clients (e.g. Gmail vs. Yahoo vs. Outlook) and on mobile devices.
On the Email HTML page, you can easily copy the HTML by selecting the clipboard icon. To return to the Review page, select Back to Review.
Send Test Email
Before scheduling your email, you can preview the message by sending samples to yourself or any other approvers you may have in your organization. By default the dropdown will include all users on your account. However, you can also type any email address to send to people in your organization that may need to review. The Test Email Addresses field is multi-select, so you can enter or select all emails in one step.
After you send a test, it will display each email address recipient in the Test Email History section.
📝A test email will send for every Subject Line and From Name combination. This means your test email recipients could receive up to nine emails if you selected the maximum number for each option.
Schedule Email
Finally before you schedule your email, you need to finalize your details to schedule and send your email.
Test Audience
If you have multiple Subject Lines and/or From Names, you will be able to set your test audience criteria by selecting the toggle switch next to the test tube icon. The test emails will go to a subset of your audience before sending to the rest of your audience at the date and time you entered on the first step of the Email Activation creation.
The Test Section allows you to set the Test Size Percentage, which is the percentage of your total audience that will receive different Subject Line and/or From Name combinations from the final version.
Test Length in Hours allows you to determine the length of time the test will run before the winning email is sent to the remaining audience.
Finally you get to choose the criteria that defines the email as winning in the Test For dropdown. The options are Open Rate, Click Rate, and Action Rate. Depending on your selection, the system will send the email version with the highest percentage of your selected rate after the delay you set in the Test Length in Hours section.
Confirm and Schedule
You are now at the final step to review and schedule your email! As the final review, the system displays counts on your Audience as well as your scheduled send time. If you have enabled tests, you will see the details around that Audience along with your remaining Audience.
Once you have verified that these details look accurate, select Confirm and Schedule. If you need to adjust any of these settings, you will need to navigate to the section where it was set in the process to adjust it before returning to this section to finalize and schedule.
